How to Add Page Numbers to a PDF Without Uploading It

To add page numbers to a PDF, open Page Numbers in Priya LifePDF, add your PDF, choose a position and a style such as 1, 2, 3 or Page 1 of N, check the preview and click Add Page Numbers. The numbers are written onto each page in your browser, and the document is not uploaded.

Page numbers matter most when someone else has to find their way around a document: a reviewer quoting "page 14", an auditor asking for an appendix, a printer collating double-sided sheets. This guide walks through the steps, explains each option as the tool actually applies it, and covers the combinations worth checking before you send the file.

How to add page numbers with Priya LifePDF

  1. Add your PDF. Open Page Numbers and drag a PDF onto the upload area, or click it to browse. The tool numbers one file at a time. If you need numbering to run across several files, combine them first with Merge PDF.
  2. Choose a position. Pick one of six positions: top left, top centre, top right, bottom left, bottom centre (the default) or bottom right.
  3. Choose a format. Select a style, set the start number and, if you like, add prefix or suffix text.
  4. Adjust the style. Set the font size, margin and colour, and decide whether to skip the first page and which pages to number.
  5. Check the preview. The preview shows the current page with its number drawn on. Use the arrows to move between pages and the zoom buttons to look closely.
  6. Click Add Page Numbers and download. The new file keeps the original name with _numbered added, so report.pdf becomes report_numbered.pdf.

The options, and how they are applied

  • Style. Four choices: plain numbers (1, 2, 3), upper-case Roman numerals (I, II, III), Page 1 of N, and Custom. A custom pattern uses {page} and {total} as placeholders, so {page} / {total} gives "3 / 20". The default pattern is Page {page} of {total}.
  • Start number. The number printed on the first numbered page. It starts at 1.
  • Prefix and suffix. Text added before and after the number, for example a prefix of Appendix B, p. .
  • Font size and colour. Font size defaults to 12 and the field accepts 6 to 72. Colour defaults to black and can be picked or typed as a hex code such as #1F3A5F. The saved file uses the standard Helvetica font.
  • Margin. The distance from the page edge, 30 by default, with the field accepting 10 to 100. It is measured in PDF points, where 72 points make one inch.
  • Skip first page. Leaves the cover unnumbered. In the saved file, the second page then carries the start number, and the total in Page X of Y leaves the cover out.
  • Page mode. All pages, Odd pages only, Even pages only, or Different positions for odd/even. The last lets you choose separate positions, by default bottom right for odd pages and bottom left for even pages, so numbers sit on the outer edge when printed double-sided. Odd and even refer to the physical page order, and the numbers themselves still follow that order, so odd-only numbering prints 1, 3, 5.

There is no page-range field. If only part of a document should be numbered, split that part out with Split PDF, number it, and merge it back.

Tips and common mistakes

  • Check the downloaded file, not only the preview. The preview is drawn in the browser, while the saved file is built separately. With Skip first page on, the preview can show a page's physical position while the saved file starts counting from the second page, so open the result and look at the first few pages.
  • Page X of Y with a different start number. In the saved file, the total is the number of numbered pages, not the last number printed. A 10-page file starting at 5 would end "Page 14 of 10". When continuing numbering from another document, use plain numbers or a custom pattern without {total}.
  • Existing numbers stay. The tool adds a number on top of the page content. It does not detect or remove numbers already printed, and it does not add a background behind the new one, so pick a position that is empty.
  • Keep prefix text simple. The standard Helvetica font covers basic Latin characters. Symbols or scripts it cannot encode may make the process fail.
  • Top positions and small margins. At the top of the page, a large font with a small margin can sit very close to the edge. Check it in the preview.
  • Rotated or mixed-size pages. Positions are calculated from each page's own size. On a page with a rotation setting, the number may appear on an unexpected edge, so check those pages.
  • Password-protected files. Remove the password first with Decrypt PDF.
  • Other text in the margin. For a title, date or other text alongside the number, Header & Footer is designed for that. To change the page labels a PDF reader shows in its navigation without printing anything, see Add Page Labels.

Privacy

Page Numbers runs in your browser tab using the pdf-lib JavaScript library, so the PDF is not sent to a server. You can check this for any tool with our guide on how to check whether a PDF tool uploads your files.

Example: paginating a compiled appendix for review

A regulatory affairs associate assembles an appendix of supporting reports into one PDF for internal review. Reviewers need to cite pages precisely, and the source reports each carry their own numbering.

After merging the reports with Merge PDF (see how to merge PDF files), the associate uses Page Numbers with a custom pattern such as Appendix 3, page {page} of {total}, placed at top right so it does not collide with the reports' existing bottom-centre numbers. The start number stays at 1, so the total is correct. They then open the numbered file and check the first page, the last page and any landscape pages. Priya LifePDF is a general-purpose tool, not a validated GxP system; whether it may be used for controlled documents or submission output is a decision for your own quality system. Frequently asked questions

How do I add "Page X of Y" to a PDF?

Choose the Page 1 of N style, or Custom with a pattern such as Page {page} of {total}. Keep the start number at 1, because the total counts the numbered pages rather than the last number printed.

Can I leave the cover page unnumbered?

Yes. Tick Skip first page. In the saved file the second page then carries the start number, and the total leaves the cover out. Check the downloaded file to confirm.

Can I put page numbers on the outer edge for double-sided printing?

Yes. Set the page mode to Different positions for odd/even. By default odd pages are numbered at bottom right and even pages at bottom left, and you can change either.

Can I number only some pages?

You can skip the first page or number only odd or even pages, but there is no page-range field. Split out the pages you want, number them, then merge the parts back together.
