How to Make a Scanned PDF Searchable with Free OCR
Open the tool, free and private
To make a scanned PDF searchable, run it through OCR (optical character recognition), which reads the text in each page image and adds it to the file as an invisible text layer. The free OCR PDF tool from Priya LifePDF does this in your browser, without uploading the document.
A scanned page is only a picture of text. You can read it, but your PDF reader cannot search it, select words on it or copy from it. OCR fixes that while leaving the scanned image on the page as it was.
How to make a PDF searchable with Priya LifePDF
- Open the OCR PDF tool and drop in your scanned PDF, or click to browse. The tool works on one file at a time.
- Under Select Recognition Languages, choose the language or languages used in the document. English is selected by default, and you can select more than one.
- Leave Output File Format on Double-Layer Searchable PDF to get a PDF back, or choose Extract Plain Text File (.txt) if you only need the text.
- Choose an OCR Engine Accuracy Resolution. High Quality is the default and suits most scans.
- Optionally, enter the pages to process in Target Recognition Pages, for example
1-3, 5. Leave it empty to process every page. - Click Start Character Recognition. A progress bar shows which page is being read.
- When recognition finishes, click the download button to save the result. If you chose plain text, a preview of the extracted text also appears on screen.
The first run takes longer than later ones, because your browser has to download the recognition engine and the data for each language you selected. The language data is stored in your browser so later runs can reuse it.
What do the OCR settings do?
Recognition languages
The tool uses Tesseract, an open-source OCR engine, running inside your browser. It offers six languages: English, Spanish, French, German, Portuguese and Arabic. The engine relies on language-specific data to recognise letters and words, so choosing the right language matters. For a document that mixes languages, select each one that appears. Every extra language adds another download the first time you use it.
Output format
Double-Layer Searchable PDF keeps your original pages and places each recognised word as invisible text at the position where the engine found it. What you see is still the scan; what you search, select and copy is the recognised text. Because the size and position of each word are estimated from the scan, a text selection may not line up perfectly with the printed words.
The invisible layer is written with a standard font that covers Western European characters. For Arabic documents, the plain text output is the more reliable choice.
Extract Plain Text File (.txt) gives you the recognised text only, with a marker such as --- Page 3 --- before each page. This is useful when you want to paste the content into another document or check what the engine read.
Accuracy resolution
Before reading a page, the tool renders it as an image at one, two or three times its normal size, matching the Standard, High Quality and Ultra Resolution options. A larger image gives the engine more detail to work with, which can help with small print or faint ink, but it takes longer and uses more of your device's memory. On a long document, try a few pages first before running the whole file at the highest setting.
Tips for better OCR results, and common mistakes
- Start with a good scan. OCR can only read what is visible. Scan at a resolution where small print is sharp, and avoid shadows, creases and uneven lighting where you can.
- Straighten crooked pages first. Skewed lines are harder to recognise. Deskew PDF can straighten scanned pages before you run OCR.
- Expect trouble with handwriting. Engines of this kind are built for printed text. Handwritten notes, stamps and signatures are rarely recognised well.
- Check the result. Search the new PDF for a few words you can see on the page. Proofread anything important, such as numbers, dates and names, because OCR can confuse similar characters like 0 and O, or 1 and l.
- Do not run OCR on PDFs that already contain text. The tool adds a text layer to every processed page, so a page that is already searchable would end up with a second copy of its text.
- Remove a password first. The OCR tool does not ask for a password. If the scan is password protected, unlock it with Decrypt PDF, which needs the current password.
- Remember the hidden text when redacting. Once a scan has a text layer, covering words with a black box is not enough. Our guide on how to redact a PDF properly explains why, and Find and Redact can then find sensitive terms across the recognised text.
If you want to edit the content rather than just search it, convert the searchable PDF with PDF to Word after OCR.
Is it private to OCR a PDF in the browser?
Your document is processed locally in the browser tab. It is not uploaded to Priya LifePDF or to anyone else. What your browser does download, the first time, is the OCR engine and its language data, which come from a public content delivery network (cdn.jsdelivr.net). That is a download of software and model data to your device; your scan is not sent anywhere.
You do not have to take that on trust. Our guide on how to check if a PDF tool uploads your files shows how to watch the network activity yourself, and is it safe to upload PDFs to online converters? explains why that matters for confidential documents.
Example: making legacy paper records searchable in a quality team
Many laboratories and manufacturing sites still hold years of paper records that were scanned into image-only PDFs: older procedures, equipment logbooks, supplier certificates and training files. Finding one reference in that archive can mean opening file after file and reading each page.
Running those scans through OCR lets a team search them for a batch number, an instrument ID or a supplier name. Because the work happens in the browser, the records do not need to be sent to an outside service to become searchable.
Two cautions apply. First, recognised text is a finding aid, not a verified transcription: the scanned image remains the true content, and any value you rely on should be checked against it. Second, if the documents are controlled records, follow your organisation's procedures for handling them. Priya LifePDF is not a validated GxP system, and our article on online PDF tools and GMP data integrity covers where general tools fit.
Frequently asked questions
How do I make a scanned PDF searchable for free?
Open the OCR PDF tool, add the scanned PDF, choose the document language and the searchable PDF output, then click Start Character Recognition and download the result. It runs in your browser at no cost.
Which languages can the OCR PDF tool recognise?
English, Spanish, French, German, Portuguese and Arabic. You can select several at once for documents that mix languages.
Does OCR change how my PDF looks?
No. The original page images are kept, and the recognised text is added as an invisible layer on top, so the pages look the same but can be searched and copied.
Why can I not search or copy text in my PDF?
The pages are probably scanned images, which contain no text characters. Running OCR adds a text layer that makes them searchable.
